This Privacy Policy explains how DeepDialogue LLC (“we”, “our”, “us”) collects, uses, and protects your personal information. It covers two things:

  • Part A — our website and online shop at deepdialogue.co, and
  • Part B — the DeepDialogue iOS app.

Where a section applies to only one of them, we say so. “Personal information” means any information that identifies, relates to, or could reasonably be linked to an individual (e.g., name, email address, IP address).

Part A · Website & Online Shop

This part applies when you visit deepdialogue.co or buy from our online shop.

What Information We Collect

We collect different types of personal information depending on how you interact with our website.

a) Information you provide

  • Any information submitted via forms, emails, or surveys

b) Automatically collected information — when you visit our website, we may collect:

Email Marketing

Existing customers: we may send you emails about similar products or services. You can opt out at any time.

Newsletter subscribers: we use your data only for sending emails, and you can unsubscribe anytime via the link in emails. We may track email opens and clicks to improve our content. We use tools such as Klaviyo (USA) and Shopify (EU).

Contact Requests

If you contact us (e.g., via email or phone), we store your information to respond to your request. We delete this data when it is no longer needed, unless legal obligations require retention.

Promotions, Surveys & Reviews

For promotions and giveaways, we collect data to run the promotion and notify winners. For surveys, we collect feedback to improve our services. For reviews, we process the information you provide along with technical metadata.

Job Applications

  • We process your data to evaluate your application.
  • Sensitive data should not be included.
  • If hired, your data is stored for employment purposes.
  • If rejected, your data is deleted after a reasonable period (typically 6 months).

Third-Party Services

We use various third-party providers for hosting, content delivery, analytics, advertising, and automation (e.g., WordPress, Cloudflare, Google Analytics, Meta Ads, Zapier). Each provider processes data according to its own privacy policy.

Social Media

We maintain profiles on platforms such as Facebook, Instagram, and LinkedIn. These platforms may collect data about your activity and use it for advertising. If you contact us through social media, we use your data to respond.

Data Security

We implement appropriate technical and organizational measures to protect your personal information from unauthorized access, loss, or misuse.

No Automated Decision-Making

We do not use fully automated decision-making or profiling that produces legal or similarly significant effects.

Part B · DeepDialogue App

This part applies to the DeepDialogue iOS app.

The Data We Process

Data you provide

  • Account data (only if you create an account): email address, display name.
  • Profile data (all optional, can be skipped): gender, date of birth, relationship status, number of children, children’s age ranges.
  • Your content: personal notes you write on conversation cards.
  • Partner connections: if you use Partner Mode, an invite code linking two accounts.

Data collected automatically

  • Progress data: which cards you’ve marked discussed or saved, and your daily streak.
  • Diagnostics: crash reports and basic device/OS information to keep the app stable (via Firebase Crashlytics).
  • Usage analytics: aggregated app-usage events (via Firebase Analytics) — see “Analytics” below.

We do not collect precise location, contacts, photos, or advertising identifiers, and we do not track you across other apps or websites.

How the app stores data

DeepDialogue is local-first: your progress is always saved on your device. To protect it against device loss and to sync across devices, the app signs you in anonymously to our cloud on first launch and backs up your progress there. Creating a real account (Email, Google or Apple) simply upgrades that anonymous profile so you can recover it and use Partner Mode.

Processors / services we use

We use Google Firebase (Google Ireland Ltd.) as our processor:

  • Firebase Authentication — anonymous, Email/Password, Google and Apple sign-in.
  • Cloud Firestore — cloud storage & sync of your progress, profile and decks.
  • Firebase Crashlytics — crash and stability diagnostics.
  • Firebase Analytics — aggregated usage analytics.

Cloud data is stored in Google’s europe-west3 region (Frankfurt, Germany).

Note: The current version does not send push notifications.

Analytics

Analytics helps us understand which features are used so we can improve the app. We use only aggregated usage data and do not use it to track you across other apps or services.

Sharing (App)

We do not sell, rent, or trade your personal data. We share it only with:

  • Google Firebase, strictly as our processor under a data processing agreement, to run the services listed above.
  • Authorities, only where we are legally required to, or to protect our rights.

International Transfers (App)

Your data is stored in the EU (Frankfurt). Where Google processes data outside the EEA, it does so under the European Commission’s Standard Contractual Clauses.

Security (App)

  • Local data is kept in iOS’s app storage.
  • Cloud data is encrypted in transit and at rest.
  • Firestore Security Rules ensure each user can only read and write their own data.

Data Retention (App)

  • Account, profile, progress and note data is retained until you delete it or delete your account.
  • Deleting your account removes your cloud data and local data (see below).
  • Analytics/diagnostics data is retained per Google’s default retention and then deleted.

Your Rights (GDPR)

You have the right to access, rectify, erase, restrict, and port your data, to object to processing based on legitimate interests, and to withdraw consent. You may also lodge a complaint with the relevant data-protection authority. To exercise your rights, contact [email protected].

Deleting Your Data (App)

You can delete your account and all associated data at any time in the app: Settings → Delete Account. This permanently removes your cloud data (profile, progress, streak, custom decks, partner connections) and clears local data.

Children

DeepDialogue is made for adults (parents and couples). It is not directed at children, and we do not knowingly collect personal data from anyone under 16. If you believe a child has provided us data, contact [email protected] and we will delete it.

Changes to This Policy

We may update this Privacy Policy from time to time. We will post the new version here and update the “Last updated” date; material changes will be highlighted in the app or on our website.
